It is said that operations personnel must not only be able to plan and write plans, but also be able to write copy. When doing an event, the most output is the event promotional copy. But to be honest, I’m fine with event planning and stuff, but I never enjoy writing copy. Because we have a Virgo boss, and he once caught me in a small dark room to correct typos in an article, and I have been traumatized by it ever since.

At the beginning, I was also troubled about what kind of topic content I should output. Later I thought about it and decided to start with the activity I did the most. After all, my outstanding ability in organizing events was appreciated by my bosses. Of course, I am not here to show off today, I am mainly here to share some content that I think is somewhat useful~

I started to get involved in activities in 2016. I remember that at that time, I didn’t even know how to organize an end-of-article event for a public account, and I was so panicked... I didn’t even know the basic elements of event planning, such as the purpose and form of the event.

It was not until I completed a project of the department independently in 2017 that I had a clear understanding of event planning and execution, and had my own understanding.

It is also based on this that I can hold two events by myself in 2018...

In short, for any activity, as long as you grasp the following three points, you have completed 80%; the remaining 20% ​​is your plan planning.

1. People: relevant personnel involved in collaborative activities

Our senior colleagues in the workplace always tell us earnestly: Let things drive people. But in my opinion, everything is driven by people. Therefore, as the person in charge of the event, you must know how to communicate with others and coordinate with the relevant personnel involved in the event to promote efficient and high-quality projects. For example, a department-level project requires cross-departmental collaboration.

Product Department - If you want to design a special page, but you don’t know how to draw a prototype, you need to communicate your needs with the product manager and let him help you achieve your goal;
Design Department - If you want to design promotional materials (a step required for large and small events), you need to clarify your needs and improve your aesthetic ability. After all, this will be an important step that affects the conversion rate of your event;
Development Department - you don’t understand coding, but you need to understand the relevant personnel in your project, which will help improve your presentation of results;
Media Department——Control the traffic department of the channel, help you distribute the works you have pondered

Maybe you will say, I am only familiar with the people in my department, I don’t know anyone else, and I don’t know how to communicate? Or if you do not attach importance to communication with relevant personnel and only know how to assign tasks, your project may be completed, but the results will always be unsatisfactory.

Actually, at the beginning, I didn’t know how to communicate with others because I am a person who is afraid of trouble. So many times, I don’t want to bother others with things I can accomplish on my own, because completion is just a matter of time anyway.

But later, as the project became larger and more complex, and my own work became more and more complicated, I was forced to actively seek help, that is, to borrow power. From then on, I learned a lesson: professionals must do professional things. It is not only a question of efficiency, but also a question of quality.

For example, for some CV work on pictures, I would rather communicate with the designer and ask him to take time to help me deal with it; I would not do it myself, although I would do it, but I want his efficiency and professionalism. Just like even if they are the copywriters, they always let me make the decision. You may not notice the gap at first, but slowly you will find that each of you is doing your job in your own field efficiently.

In addition, I am also happy to communicate with designers about image requirements. When communicating, I will actively express my ideas, but after that I will always say "This is my suggestion, but whether it can be done depends on the design perspective." At first, I didn’t know how to express my real ideas to the designer, and he didn’t know what I wanted, so the final product was usually unsatisfactory and could not bring a high conversion rate. It was not until I became familiar with the designers and learned how to communicate with them that our finished products became better and better. Although my boss has always denied my aesthetic taste, I know that I have been making progress and the things I make are gaining more and more recognition, which means that I have succeeded.

Therefore, knowing how to communicate is the prerequisite for doing everything, and the subject of communication is people. I am still learning, come on!

2. Things: Grasp the operation rhythm and follow up the progress of activities

When doing an event, the worst thing to do is to panic. If you panic, the activity will be overdue.

Panic, in the final analysis, it is because the operation staff did not plan well. There was no planning at the beginning. We just did whatever we thought of. For example, when the results of an event were not satisfactory, we would ask for help on a temporary basis.

Come on, bro. You only think of others when you are in trouble, and they are willing to help you enthusiastically. Why don't you go to heaven?

To get help from others, it is based on continuous communication in the early stage. Only when both parties reach an agreement can good results be achieved.

Having said that, I always panic. Is there a solution?

As a person who gets panicked when encountering problems, I finally came to a conclusion after constantly making mistakes, which is: output activity plans and grasp the operational rhythm part, that is, what to do at what time, and which channel should be used for better promotion at what time. As long as we have a clear operational rhythm and continue to follow up on the progress of the event, we don’t have to worry about the event being postponed. Anyway, I can confidently say that none of the activities I was responsible for were overdue.

As long as you grasp my key points and make breakthroughs, you can pursue better activity results.

3. Materials: Arrange the purchase and delivery of prizes

When an activity reaches this step, people tend to think it is a success and stop paying too much attention to it. But in fact, this is a closed-loop part of the entire activity, and if done well it can add points.

For example, when purchasing prizes, everyone knows that there is a budget for activities. How to achieve the best results within the budget requires you to know how to bargain when purchasing, and plan your time well to ensure that the prizes can be delivered on time. Like my most recent experience, although I submitted the prize application half a month in advance, I found out in the end that there was insufficient stock. In fact, both parties are responsible. He has no habit of keeping records, and as the demander, I should have confirmed the goods in advance instead of discovering the problem at the last minute.

In addition, many people think that they can just pack the prizes and send them away by courier. No, this matter is not over yet. After the prize is delivered, remember to ask the courier for the delivery number and then inform the user. Here, if it is within your ability, it is best to inform each other in a 1V1 format.
