Every time I organize an event, I have to write an event plan, and every time I write a plan, I always feel particularly worried for a while! Today I will teach you a method. Once you master it, you can master all activity plans.

1. Integrate resources

When an activity is proposed, it is necessary to integrate resources after understanding the other party's preliminary situation of the activity. Whether it is you or the client who proposes to hold the event, there will be some ideas about the event.

What we need to do is to understand this idea and this requirement. Resource integration here can be understood as the preliminary data collection, organization and analysis. The entire activity plan includes four major parts. These four sections organize the activities to be carried out and establish a basic framework for the subsequent formation of ideas and preparation of plans.

2. Activity Positioning

The conception of an activity is to combine resources and purposes, elevate the activity to a certain level, and select a platform or carrier to implement it. Different platforms will also bring different effects.

After the theme of the event is determined, look for sections around the theme, just like a puzzle. Once the framework is out, just piece it together. Search for as many activity elements related to the theme as possible. Although not all of them may be used, multiple options can be provided to arrange the most reasonable activity. Here, the theme of the event is the soul that runs through the entire event, and any elements must be selected and arranged around the soul.

After determining the resources and positioning, it is necessary to complete the specific activity plan. In order to ensure the effectiveness of the event, the event plan needs to be subdivided, such as into publicity plan, implementation plan, public relations plan, risk and unexpected mechanism, etc.

3. Promotional Plan

The publicity plan should include pre-publicity, publicity during the event, and follow-up publicity. The time for pre-promotion depends on the event. Generally, the promotion starts half a month before the event. At the same time, the event can also be preheated before the event starts. It can be planned according to the user's focus, and a small climax can be achieved through preheating. A relatively stable level of attention is maintained, and the level of attention reaches its highest on the day the event starts.

IV. Implementation Plan

Including preparation before the event and on-site control during the event.

In the implementation plan, the most critical thing is the division of labor within the team and the allocation of members. A preparation team should be prepared for each project, and a person in charge should be assigned to carry out detailed division of labor. This must be reflected in the implementation plan.

When making an implementation plan, you must simulate the entire activity several times in your mind, take all the details into consideration, arrange the time for each stage in sequence, and be organized.

In fact, the implementation plan only needs to consider two aspects: material work and human resources work. The organic combination of people and things is a successful implementation plan.

During the course of an event, many situations may arise, and these accidents may be big or small. Sometimes a very small accident may have a devastating blow to the event. Therefore, when making an event risk and accident control plan, the more you consider, the lower the risk of the event and the greater the possibility of success.

Possible accidents generally include weather changes, user injuries, etc., which will have a great impact on outdoor activities, so there must be relevant mechanisms for early prevention.

The most taboo thing in large-scale outdoor events is chaos on site. Once chaos occurs, it will not only affect the effect of the entire event, but if people are injured, it will have a very serious negative impact on the company and the organizer.

Therefore, how to strengthen on-site control and avoid such incidents should be taken into consideration in the risk and accident control plan. It is very likely that a small accident will cause panic among the audience, which may lead to chaos on the scene.

The preparation of an activity plan is actually a matter of dealing with details.

Finally, event executors all believe in one saying: it’s not the quantity that matters, but the quality of the soldiers. I also believe in a saying: 30% depends on planning, and 70% depends on execution. No matter how creative an activity plan is, if problems arise during implementation or the execution is insufficient, then this plan can only be used as an entry for the creative selection.

Activity execution emphasizes human execution. Therefore, rationally arranging activity staff, making clear division of responsibilities and rights, and making each staff member aware of his or her responsibilities are the key to the entire execution process.

In other words, the key to the success of an event is not how many people are arranged. Perhaps the more people you arrange, the worse the control over the scene will be, because it is easy for people to blame each other in this process. Instead, it lies in whether each person's job position is clear and everyone performs their duties and responsibilities.
