Guide to Writing an Event Planning Proposal

Guide to Writing an Event Planning Proposal

For new operators, they may have read countless event cases and have many event ideas in their minds, but when they need to get started, they will still be in a mess. The reason is that they do not really understand the purpose of the event, do not grasp the real needs of users, and have not formed a complete set of event planning ideas. Today, I will share with you how operators can establish and improve their own planning systems.

What is the relationship between event operations and event planning?

Event operation is an explosive operation method carried out to achieve goals in a short period of time, and event planning is one of the steps in the operation.

Complete event operations include: event planning, program execution, and review and summary.

How to plan an event?

A complete planning process includes preparation period, planning period, execution period, dissemination period, and review period , and each stage requires careful planning.

  • Preparation period: clarify the activity users and activity purpose
  • Planning period: prepare a complete plan
  • Implementation period: timely adjust activity plans based on data
  • Communication period: warm-up, detonation, and ending
  • Review period: review goals, show results, compare differences, and summarize experiences

What’s the point of event planning?

1. Clarify the purpose of the activity

A clear goal is the first step in event planning, and the goal is the guideline for all subsequent decisions.

2. Choose the right time and activity theme

All activities must have a reason. Users will find it difficult to accept benefits without explaining the reason. We must find this reason and then combine it with the product. This "reason" is our first point of contact with users and is the core of event planning.

3. Plan “meaningful” activities
  • Closely related to products and users
  • Low participation threshold, simplified process, simple rules
  • Can make users feel emotional
  • Make users feel profitable
  • Give users a sense of trust
  • There should be a "lively" atmosphere
4. Allocate resources reasonably

Resources include: monetary budget, promotional resources, human resources

5. Do a good job of data monitoring and statistics

Data can help us determine whether our goals have been achieved and whether we need to optimize the activity content in a timely manner.

6. Conduct activity review in a timely manner

The end of execution does not mean the end of the activity. There is also a very critical link that we need to pay attention to, that is, reviewing the results of the activity, including effect evaluation, cause analysis, summarizing experiences and lessons, etc., which can serve as a good reference for subsequent activities. Among them, tree diagrams and fishbone diagrams are both good analysis and summary tools.

Several thinking models commonly used in event planning

5W2H Analysis

5W2H analysis method: WHAT, WHY, WHERE, HOW MUCH, HOW, WHEN, WHO

The 5W2H analysis method, also known as the seven-factor analysis method, is a very classic planning method. It is very simple, convenient, easy to understand and use, and is widely used in the company's event planning and project planning.

3W Golden Circle Rule

People whose thinking mode is at the outermost level know what they want to do, but rarely think about how to do it better.

People in the middle know “how” to better accomplish tasks and goals, but rarely think about the reasons for doing so.

Only those who are at the center of the circle know clearly why they do this. Why is the core essence of doing this thing, and everything else revolves around this center.

PDCA Cycle

P: Plan includes the determination of policies and objectives, as well as the formulation of activity plans.

D: Execution (Do): Design a specific action plan based on known information; then execute specific actions based on the plan.

C: Check: Summarize the results, clarify the effects, and find out the problems.

A: Process (Act) Take specific actions on the inspection results and issues, and move unresolved issues into the next PDCA cycle.

KISS Review Method

Keep: Review the good actions in this activity and the actions that can be maintained in subsequent activities.

Improve (needs improvement): Which links/factors led to unsatisfactory aspects of the activity and need to be improved in subsequent activities.

Start (need to start): Which links have not been implemented in this activity but need to be started later.

Stop (need to stop): Which behaviors are detrimental to the activity and need to be stopped.

Funnel Model

When reviewing data analysis, the funnel model can be used to more clearly determine where the activity problems occurred. Combined with the PDCA model, it can provide more references for optimizing the next activity.
